The Executive Assistant acts as a Region Coordinator working with the Region Sales Executive team. This position provides a range of support including various administrative responsibilities for Senior Sales Directors, event planning and coordination, reporting, and maintaining effective communication channels within the organization. Key success criteria would be collaboration across functions and levels within the organization, along with multi-tasking in a dynamic environment.

- Provides administrative support and assistance including managing Region Sales executives’ calendar, booking boardrooms and equipment, making travel arrangements, completing and logging travel expense accounts, ensuring accuracy of calculations and allowable expenses.
- Compiles information, ensuring team has all necessary information and materials for meetings.
- Prepares and proofreads a variety of documents including correspondence, slide presentations, charts, and project plans.
- Prioritizes conflicting needs; handles matter expeditiously, proactively, and followsthrough on projects to successful completion, often with deadline pressures
- Organizes and maintains Region Sales/ departmental records as accurate and complete and develops and maintains filing systems.
- Provides assistance and facilitation of meetings and events including coordinating agenda items, taking minutes and following up on items discussed for action.
- Responds to inquiries, internally and externally, ensuring appropriate actions, dissemination of information and follow up as necessary.
- Assists in the efficient operation of the Region office by liaising with other departments resolving issues and ensuring new staff have appropriate and necessary supplies and equipment.
- Updating various reports, vacation schedules and Global Control Systems
- Assumes responsibility for specific projects as required.
- Support and provide guidance to administrative assistants in markets across the country
- Previous experience with a consumer-packaged goods or retail organization in an administrative function an asset
- Superior technical, computer and troubleshooting skills – Microsoft Office
- Senior leader support experience, having worked with Directors or Executives and having a high scope of responsibility
- Great with people and customers, excellent communication skills, and ability to problem solve autonomously
- Outstanding organizational skills (as demonstrated by your ability to handle multiple priorities, problem solve, and meet deadlines or targets)
- Maintain confidentiality and collaborate across functions
